Job Description

Reporting to: Sr. Director of Marketing and Communications

Salary Range: $50,000 – $55,000

Position Overview: Reporting to the Sr. Director of Marketing and Communications, the Marketing and Events Manager serves as a key member of the marketing team. The ideal candidate will be creative and entrepreneurial, with the ability to execute a variety of tasks from high quality special events to marketing campaigns. She/He/They will have exemplary attention to detail and a can do attitude. 

Duties & Responsibilities:

  • Work with the Social Media and Digital Marketing Manager in identifying advertising opportunities, acquiring information from vendors, and entering purchase orders and check requests.
  • Assist with the development of promotional signage, brochures, rack cards, posters, and other collateral in support of marketing initiatives.
  • Coordinate planning and assist in the execution of publicity events, including public openings and previews for exhibitions.
  • Assist in the development and deployment of Museum promotions, including the use of exhibition passes and promotional items.
  • Monitors the Museum’s e-mail inbox for all public inquiries. Routes interview and fact-checking requests to the appropriate staff and handles general, image, and collection requests.
  • Maintains the Museum’s press site on the web, including uploading and managing images, texts, audio, and video content.
  • Participate in concept and creation of all special events, including theme, location, program, together with the Sr. Director of Marketing & Communications and Senior Staff. 
  • Coordinate group visit sales as related to facility rental and added value services.
  • Create and manage all event budgets, with approval from Sr. Director of Marketing & Communications.
  • Secure and coordinate outside vendors, including caterers, entertainment, A/V, photographer, etc.
  • Work with the museum’s Database and Donor Relations Manager to generate invitation and distribution lists for events.
  • Manage RSVPs and coordinate event logistics plans, including event scripts, registration, and attendee tracking.
  • Coordinate with Marketing staff the content, design and production of event collaterals including invitations, e-blasts, programs, and follow-up communications.
  • Work with Manager on Duty (MOD), Education staff and Preparators for smooth and efficient event coordination, including set-up and breakdown.
  • Act as liaison between Miami-Dade County facility management and the museum for event logistic needs.
  • Manage and market the Facility Rental Program.
  • Manage museum-wide event and facility rental master calendar.
  • Manage logistics for the museum’s annual CultureFest 305.
  • Other related tasks as assigned by supervisor.

Qualifications:

  • Driven, energetic, highly collaborative and results-oriented.
  • High level of accountability and efficiency, especially while handling multiple tasks.
  • Good research, planning, and organizational skills; strong work ethic and follow-through; excellent attention to detail.
  • Excellent problem-solving, and decision-making skills; ability to exercise composure and diplomacy at all times.
  • Minimum 2 years of event management experience with a proven track record of creating and executing high profile events; sales; museum or cultural venue experience a plus.
  • Excellent written and verbal communication skills and superior attention to detail.
  • Proven track record of ability to multi-task, stay organized when facing multiple priorities with competing time and resources needs.
  • Ability to work with key stakeholders including Trustees, Event Committee members and staff to meet budget and goals.
  • Experience supervising event staff and vendors.
  • Strong ability for quick decision making, a hands-on manager, and must be a self-starter.
  • Strong interpersonal skills and flexibility are necessary and a willingness to adjust course when appropriate new ideas or objections are raised.
  • Familiarity with Excel, Photoshop, WordPress, and desktop publishing software preferred.
  • Bachelor’s degree in marketing, business, hospitality, or related area, or equivalent experience preferred.
  • Availability to work occasional evenings and weekends as needed.
