Position: Executive Assistant to the CEO
Department: Executive/Administration
Reports To: President/CEO
Classification: Full-Time / Exempt
The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO and Board of Directors. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Executive Assistant Essential Duties:
- Provide sophisticated calendar management for CEO
- Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
- Answer phone inquiries for CEO, and provide detailed information as needed
- Perform a full range of administrative duties, take memos, maintain files, and organize, photocopy, fax, and collate documents as needed
- Arrange CEO travel, accommodations, itineraries, and all correspondence related to arrangements as needed
- Plan, organize and implement events, such as meetings, business luncheons, or client dinners
- Manage executive schedule and act as a liaison for the CEO
- Prepare minutes, reports, presentations, and data, as well as maintain files, records, and correspondence for CEO
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Anticipate CEO’s needs in advance of meetings, conferences, etc.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team
- Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows
Board of Directors Support:
- Act as a liaison and provide support to the Board of Directors
- Prepare agenda, reports, presentations, and data, as well as maintain files, records, and correspondence for Board of Director monthly meetings and Board committee meetings
- Prepare board meeting minutes on behalf of the Board Secretary
- Ability to handle confidential information; organize and maintain files
- Prepare information and research for executive needs
- Order, track and organize office and copy machine supplies as needed
- Assist with planning of company events, meetings, employee team building activities, or special projects, as directed
- Provide support to other AUL projects, as directed, i.e. human resources, community events, etc.
- Manage Akron Urban League’s relationship with National Urban League ensuring AUL maintains compliant status, coordinating monthly, quarterly and yearly submission of required reports in the Affiliate Data Management system
HR Assistant Duties:
- Assist the CEO office with AUL HR duties and functions
- Answering general employee requests and questions
- Update and maintain employee records
- Assisting in the recruitment and interview processes
- Conduct background and reference checks on new hires
- Help supervisors in assessing employee engagement and evaluation
- Responsible for new employee orientation and onboarding process
- Guide new hires with completion of Employee Navigator for group benefits
- Maintain the HR calendar (schedule meetings, interviews, HR events etc.)
- Work closely with CEO to formulate methods to improve employment policies, processes and practices as well as recommending changes to management
Requirements & Qualifications:
- Significant executive support experience required. Nonprofit board experience is highly-preferred
- 3-5 years of prior experience in mid- to senior-level administration, business, management, or related field
- Highly Proficient and Advanced in computer skills, including Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel) required. Comfortable learning new software programs, if required
- Excellent written and verbal communication skills
- Strong interpersonal and customer service skills with upbeat, approachable, and kind demeanor
- Able to concentrate on multiple problems and tasks at once
- Excellent time management and prioritization skills
- Comfortable in a fast-paced environment with multiple tasks and projects
- Able to organize and manage large amounts of files, tasks, schedules, and information
- Self-directed and able to work without supervision
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and dignitaries
- Excellent judgment is essential
- Ability to switch gears at a moment’s notice
