Job Summary

 

We are hiring a Document Management Specialist to join our team. In this role, you will be directly responsible for the collection, organization, quality control and retention of all original documents adhering to the requirements for retention and filing of the Associations’ documentation while managing overall lifecycle of documents.

Essential Duties & Responsibilities

  • Assist with coordination and implementation of the document management process, ensuring compliance by all participants to a standard process implementation. 

  • Provide support for Association-wide document management lifecycle by receiving original loan documents; quality control check all paper documents that come in against the ECM system to ensure all images, pages, text, and metadata are accurate, file paper documents in onsite file room, run retention reports, destroy retired documents, scan documents, coordinate documents that need to be sent to offsite storage, create the appropriate box and label; maintain inventory list of all original documents.

  • Primary business owner of the Associations’ Physical Records management. Maintain the relationship with the 3rd party offsite vendor that stores Associations’ documents.

  • Establish and maintain continual process improvements to increase the effectiveness and functionality of the Associations’ physical filing system.

  • Help prioritize, implement recommended enhancements, changes and upgrades. 

Education Requirements

  • High School or GED is required
  • Associate Degree in Business Technology or related field is preferred

Years of Experience

  • 2+ years related administrative experience or document management experience and or document lifecycle management.
