ESSENTIAL DUTIES

Customer Service Representative is to be the direct liaison between Install manager, Project Designer, Client/ Point of Contact (POC) and VHC Office (billing)

• Answers all client communications in a timely manner.
• Schedules installation, touch up and service appointments.
• Inform POC or Client of any changes in arrival timeline and/or any changes in work descriptions for the day.
• Updates and maintains Install calendar in Smartsheet daily.
• Creates folders for the following: rework, work order, change order, touch up and service.
• Updates all folders in Smartsheet.
• Receives all service and warranty calls.
• Creates and maintains service and warranty lists.
• Receives requests from the Install Manager and/or installers for required items or items being returned for adjustments and creates work order forms as necessary.
• Daily meeting with Install Manager to discuss and maintain ongoing projects, service/ warranty issues and schedule updates for the following day.
• Present work order forms to Install Manager for review.
• Presents approved work order forms to Pre-Installation Manager.
• Assists in prepping Install team daily, creating folders as needed.
• Touches base with Install team at the end of each day to discuss open items and actions as needed.
• Notifies billing office of job closings through "Ready to Invoice" forms.
• Communicates with install manager to get resources (Installers) on site and schedules appointments with POC or client.
• Works with Install Manager to prepares monthly reports on department finances and efficiencies.

SKILLS & DUTIES

• Previous Customer service/ relations experience
• Knowledge of cabinetry and/or construction
• Experience creating a daily schedule for multiple crews.
• Knowledge of Microsoft office programs
• Experience utilizing Smartsheet.
• Problem solving skills.
